Build a room-by-room equipment record

List each treatment unit, steriliser and other asset included in the proposed visit. Record the manufacturer, model, serial number, room and internal asset tag. Attach readable nameplate photographs and the previous service report, keeping patient information out of the enquiry.

A-dec's parts guidance identifies maintenance kits and parts by equipment model. Use precise asset identification when requesting potential service items, and ask the provider to confirm compatibility before ordering. A generic description such as dental chair service does not establish which components belong in the scope.

Separate routine service from reported faults

Give each reported issue its own entry: affected asset, date first noticed, displayed message and circumstances in which it occurs. Share existing logs or photographs that staff can obtain through normal operation. Avoid opening equipment or attempting a repair to make the enquiry more complete.

For planned maintenance, A-dec directs equipment users to the applicable instructions for use. Send the relevant documentation and ask the service provider to state the proposed tasks against each model. Treat investigation of a reported fault as a separate scope item when its cause is unknown.

Create a workable clinic access plan

Specify the emirate, parking or loading restrictions, building access process and the person meeting the engineer. Give room availability windows and identify equipment that cannot be released simultaneously. Ask for the anticipated service sequence so the clinic can review its effect on bookings.

Nominate clinic personnel to manage equipment preparation under existing clinic procedures and manufacturer instructions. Confirm who authorises isolation, who can approve additional charges and who signs the visit record. For an off-site assessment, agree collection, packaging responsibility and the expected communication points before releasing the asset.

Define what the visit should deliver

Request a quotation listing included assets, planned tasks, labour, proposed consumables and exclusions. Ask how findings that need parts or another visit will be reported and authorised. Confirm whether testing, calibration or other required documentation is included or needs a separate agreed scope.

Request a report with asset identification, work completed, unresolved findings and recommended follow-up. Agree the handover process with the clinic's responsible person. For any replacement enquiry, Arabian Labs' dental treatment units and tabletop dental autoclaves are quote-on-request ranges; final models must be identified in the quotation.

Example enquiry to adapt

Our Dubai clinic requests planned maintenance for two treatment units and assessment of a recurring message on one tabletop autoclave. Attached are the asset list, previous reports and message history. Room one is available in the morning; room two can be released after lunch. Please confirm a proposed sequence and itemise routine service and fault assessment.

Please identify documentation supplied after the visit and the approval process for parts. For a clinic elsewhere in the GCC, include the location and access requirements so service scope, travel and logistics can be arranged.

Your enquiry checklist

  • Room, model, serial number and asset tag.
  • Previous reports and separate fault observations.
  • Equipment instructions and proposed maintenance tasks.
  • Room release windows and clinic preparation contact.
  • Report requirements and approval route for additional work.

Put the checklist to work.

Send your equipment details, location and required work. We review UAE enquiries first; GCC visits are arranged around the scope, travel and logistics.
