Request three distinct deliverables
For quotation purposes, request maintenance as a defined list of upkeep tasks. Request calibration as measurement results at agreed points, with the method and associated measurement uncertainty. Request verification as a documented comparison against specified requirements. Ask the provider to state how each requested activity will be performed and reported.
NIST explains that metrological traceability belongs to a measurement result through a documented calibration chain, with uncertainty contributions. It does not alone establish fitness for purpose or extend automatically to every result produced by a calibrated instrument. Ask for evidence relevant to the measurements you require.

Translate the application into a measurement brief
Provide the instrument's asset tag, model, serial number and working range. Identify the points that matter to your methods. For a single-channel pipette, state its volume range, volumes normally used and the tip system. For an analytical balance, supply capacity, readability and the mass range of typical work.
Attach your required procedure or ask the provider to propose one for review. State the acceptance limits and who owns them. If you need a pass-or-fail statement, ask how measurement uncertainty will be considered in that decision. Do not leave the supplier to invent limits from an instrument description alone.
Agree the sequence before any adjustment
Say whether results in the received condition are required before maintenance or adjustment, and whether results after the work must also be reported. Identify who can authorise adjustment or repair and request a clear separation between measurement work and any corrective work.
Explain how an unexpected result should be escalated. The provider can report its findings, while your laboratory's responsible person decides how to assess affected work under its own procedures. Ask for prompt notification of an agreed exception rather than discover an unresolved issue only when the final report arrives.
Check the report and handling scope
Request asset identification, dates, method, measurement points, results with units, relevant conditions, uncertainty and supporting reference information as applicable. If a conformity statement is requested, require the agreed limits and decision rule to be identified. A label alone is insufficient for reviewing these details.
Clarify whether work is on site or off site, and agree preparation, packaging, collection, transport and return responsibilities. State the UAE site or GCC destination so travel and logistics can be scoped. Request an estimated turnaround for agreement, along with the procedure for communicating delays or additional work.
Example enquiry to adapt
Our Abu Dhabi laboratory needs quotations for one analytical balance and six single-channel pipettes. Attached are asset details, working points and our acceptance requirements. Please separate maintenance, calibration and verification, identify proposed methods and confirm whether results before and after any authorised adjustment are included.
Please specify the report contents and any transport requirements. If replacement equipment is proposed, Arabian Labs' single-channel pipettes and analytical balance range are quote-on-request, with final models specified in the quotation. Compare replacement suitability against the same application requirements used in the service enquiry.
Your enquiry checklist
- Asset identity, intended use and working points.
- Proposed method, acceptance limits and decision rule.
- Results required before and after authorised work.
- Report contents, uncertainty and relevant traceability evidence.
- Handling responsibilities, exception contact and agreed timing.
Put the checklist to work.
Send your equipment details, location and required work. We review UAE enquiries first; GCC visits are arranged around the scope, travel and logistics.
